Account information: name, email address, company name, job title, password.
Billing information: payment card details (processed by our payment provider; we do not store full card numbers).
Content you create: messages, video call recordings and transcripts, tasks, comments, files, HR records (e.g., time-off requests), and other content you upload or generate within the Service.
1.2 Information Collected Automatically
Usage data: features used, pages viewed, timestamps, click patterns.
Device data: IP address, browser type, operating system, device identifiers.

1.3 Information from AI Features
When you use AI-powered features (meeting transcription, thread-to-task conversion, AI Co-Pilot, executive summaries), the Service processes the content of your chats, calls, and tasks to generate outputs. This processing occurs within your organization's workspace boundary.
2. How We Use Information
We use collected information to:
Provide, operate, and maintain the Service.
Power AI features (transcription, task generation, summaries, bandwidth analysis).
Process payments and manage subscriptions.
Send service-related communications (billing notices, security alerts, product updates).
Improve and develop new features.
Detect, prevent, and address technical issues, fraud, or security incidents.
Comply with legal obligations.
We do not use your organization's content (messages, transcripts, tasks) to train AI models shared across other customers.
3. How We Share Information
We may share information with:
Service providers who perform functions on our behalf (cloud hosting, payment processing, customer support tools), under contractual confidentiality obligations.
Other users in your workspace, as intended by the collaborative nature of the Service (e.g., messages, tasks, HR requests are visible to relevant team members per your organization's permission settings).
Legal authorities, when required by law, subpoena, or to protect the rights, property, or safety of InTheWork, our users, or the public.
Successors, in the event of a merger, acquisition, or sale of assets, subject to this Privacy Policy.
We do not sell personal information to third parties.
4. Data Security
We implement industry-standard safeguards, including:
Encryption in transit (TLS) and at rest (AES-256).
Role-based access controls within workspaces.
Regular security audits and monitoring.
No system is 100% secure. We encourage you to use strong passwords and enable any available multi-factor authentication.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. Upon cancellation, you may export your data. We retain exported-eligible data for 30 days after cancellation, after which it is permanently deleted from our active systems, except where retention is required by law.
6. Your Rights
Depending on your location, you may have the right to:
Access, correct, or delete your personal information.
Object to or restrict certain processing.
Request data portability.
Withdraw consent where processing is based on consent.

8. Children's Privacy
The Service is not directed to individuals under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notice. Continued use of the Service after changes take effect constitutes acceptance.
